A useful idea before you download
Outstanding checks and deposits in transit explain timing differences. Unrecorded bank fees and interest may require entries in the books. Each item needs an explanation and evidence; do not force cash to match.
Follow the numbers
In this fictional September case, the bank statement and cash ledger start at different balances. Reconcile each side separately:

2. Adjust the cash ledger balance

Final check: $19,315 − $19,315 = $0 difference. Book cash increases by $19,315 − $18,535 = $780 after recording the book-side corrections. The $180 repair adjustment records only the missing amount, not the full $860 payment. The deposit and outstanding checks are already in the books, so do not record them again. Follow up on the bank’s pending $90 correction.

A common question
Do outstanding checks require another expense entry?
Usually no: if the payment was already correctly recorded, the outstanding check is a timing difference on the bank side. Recording it again would duplicate the transaction.
